• Fleet data: Vehicle information, driver records, inspection reports, work orders, maintenance schedules, GPS location data, and trip history provided through integrations with telematics platforms such as Geotab and Samsara.

• Payment information: Processed securely through Stripe; we do not store full card numbers on our servers.

4. Third-Party Integrations

Our products integrate with third-party telematics and fleet platforms. When you connect these integrations, data is exchanged between our systems and those platforms in accordance with their respective terms and privacy policies.

• Geotab: Vehicle and driver data accessed via the MyGeotab API and Add-In framework.
• Samsara: Vehicle and driver data accessed via OAuth 2.0 authorization.
• Stripe: Payment processing. Stripe's privacy policy governs payment data.
• Anthropic Claude API: Powers the Vera AI assistant. Prompts and responses may be processed by Anthropic in accordance with their usage policies.
• AWS: Cloud infrastructure for hosting, storage, email (SES), and SMS (SNS).

We only access third-party data that is necessary to provide the functionality you have authorized.

5. Data Retention

We retain your personal information and fleet data for as long as your account is active or as needed to provide services. Upon account cancellation:

• We will retain data for up to 90 days to allow for account recovery.
• After 90 days, personal data and fleet records are permanently deleted from our systems.
• Anonymized, aggregated usage statistics may be retained indefinitely.
• We may retain records as required by applicable law or regulation.

6. Data Security

We implement industry-standard security measures to protect your information:

• All data is transmitted over HTTPS/TLS encryption.
• Passwords are hashed and never stored in plain text.
• API keys and credentials are stored in AWS Secrets Manager.
• Database connections require SSL.
• Access to production systems is restricted to authorized personnel.

While we take reasonable precautions, no method of transmission or storage is 100% secure. We encourage you to use strong, unique passwords and to notify us immediately of any suspected unauthorized access.
